Productivity isn’t about doing more - it’s about removing friction

When teams talk about productivity, the conversation usually goes straight to output: more tasks, more emails answered, more done in less time.

But most businesses don’t need people to do more.

They need work to feel less difficult.

Because a surprising amount of time is lost not to “big problems”, but to tiny bits of friction repeated all day.

What friction looks like in everyday work

Friction is the stuff that slows you down without you realising. It’s the extra clicks, the hunting around, the “where did that file go?”, the “can you resend that?”, the “I’ll just recreate it”.

A lot of organisations accept repetition as normal. If someone runs the same report every Friday, that’s just “part of the job”.

Microsoft 365 is full of small features that remove friction, but they’re rarely adopted because people don’t have time to explore them.

The biggest gains don’t usually come from a dramatic “transformation project” that requires many hours of discussion, months of work, and resilience from employees as they go through multiple iterations. Instead, they come from tiny improvements that stick.

For example:

  • Version control so people stop working on the wrong file
  • A simple workflow that routes requests to the right person

Each one might only save a few minutes - but those minutes appear again and again, across every project. And the tools available to use these approaches already exists, possibly even in your software estate already.

Productivity should feel calmer

When friction is removed, people don’t just “work faster”. They feel more in control. Less interrupted. Less mentally overloaded by basic admin.

That’s the kind of productivity that lasts - and it’s usually much more achievable than people think.
